PRIVACY POLICY
How we use and protect your information
Data Controller
Foot-Doctor is the data controller responsible for your personal information.
If you have any questions about how your data is handled, please refer to the contact details at the end of this policy.
How We Handle Your Information
We use a structured process to ensure your information is handled safely and appropriately throughout your interaction with us.
Depending on how you contact us, your information may be collected through online forms, questionnaires, or communication tools used to understand your needs and guide you to the most appropriate service.
If you proceed to a consultation or treatment:
- Your details are securely stored within our clinical patient management system.
- Relevant clinical information is recorded as part of your medical record.
- Additional information (such as documents or imaging) may be uploaded securely where required.
We use different systems for different stages of your journey (e.g. enquiry, triage, booking, and clinical care). These systems are selected to ensure appropriate security, confidentiality, and compliance with UK data protection standards.
Your information is only accessed by authorised personnel and is used solely for the purpose of providing care, coordinating services, or responding to your enquiry.
We only collect and use the information that is necessary to provide our services and meet our legal obligations.
Legal Basis for Processing
We process your personal data in accordance with UK data protection law. This includes:
- Providing healthcare services and managing your care
- Responding to enquiries and coordinating appointments
- Complying with legal and regulatory obligations
Where required, we will obtain your consent before processing your information.
Use of Video and AI-Assisted Tools
We may use secure video and digital communication tools to support consultations, enquiries, and patient engagement.
We may also use AI-assisted tools to support administrative efficiency, including:
- Transcription of consultations or communications
- Summarisation of non-patient-specific information
- Creation of educational or general clinical content
Important:
- All clinical decisions and patient-specific information are reviewed and managed directly by a qualified clinician.
- AI tools are not used to make clinical decisions independently.
- Your identifiable patient data is not used to train, develop, or improve AI systems.
- Any use of AI is limited to supporting processes and improving communication, not replacing clinical judgement.
Where video consultations are used, these are conducted using secure platforms appropriate for healthcare settings.
Clinical and Non-Clinical Services
We provide a range of services, which may include clinical care, second opinions, and educational or advisory interactions.
Not all services constitute ongoing clinical care.
For example:
- Second opinion consultations are provided as standalone assessments and do not establish an ongoing treating relationship unless explicitly agreed.
- Educational content, general advice, and digital resources are provided for informational purposes only and are not a substitute for personalised medical care.
Where a formal clinical relationship is established, this will be clearly defined, and appropriate records will be maintained within our clinical systems.
Third-Party Systems and Data Processing
We use trusted third-party providers to support the delivery of our services.
These may include systems such as patient management platforms, secure form tools, and video consultation platforms (for example Carebit, ScoreApp, VideoAsk, or equivalent providers).
- Patient management and clinical records
- Appointment booking and scheduling
- Video communication and consultation
- Email communication and follow-up
- Payment processing (where applicable)
All third-party providers are selected based on their ability to meet UK data protection and security standards.
We ensure that:
- Data processing agreements are in place where required
- Your information is only used for the intended purpose
- Appropriate safeguards are applied to protect your data
We do not sell your personal data to third parties.
